How can a field service company replace paper work orders, Excel and WhatsApp?
By Andrija Drabić · Published
You replace paper work orders, Excel sheets and WhatsApp groups with one app where technicians work on their phones and the office on the computer: an order is opened, signed and sent in one place, and the material comes off the van's stock by itself. That is what we built DrabbIT App for, our own product for field and service companies.
Where a field company gets stuck
In many service companies a technician fills in a paper work order, someone at the office retypes it, and the customer gets the signed order days later. Van stock is known roughly, supplier invoices are retyped line by line, and the shift schedule travels over WhatsApp. None of these steps is big, but together they eat hours nobody bills for.
Signs you've outgrown paper and Excel
- Work orders are written on paper and retyped at the office.
- “Who has the drill?” takes a few phone calls to answer.
- Stock is counted once a year and guessed the rest of it.
- Supplier invoices are retyped line by line.
- Travel orders are filled in by hand.
- Shifts are sent around in WhatsApp groups.
What DrabbIT App is
DrabbIT App is one app for your whole field operation: work orders signed by the customer on site, stock in the warehouse and in every van, e-invoice import, equipment and vehicles, workers, travel orders and shifts. It runs in the browser on computers, tablets and phones and installs on the home screen like an app, so there's nothing to install.
It's made for field and service companies with roughly 5 to 50 people, vehicles and stock: alarm and video surveillance, air conditioning, electrical installation, IT, lifts and solar. Security companies get their own package for rosters and the registers the law requires.
It isn't custom software but one proven product that we set up for your company: with your name, your data and the words your team already uses.
What one work order looks like
- At the office you open the order: customer, site and what needs doing, then assign a technician.
- On the phone, the technician logs material and hours. When the job is done, the material comes off the van's stock.
- The customer signs with a finger, right on the phone screen. The signed PDF is stored and can't be changed afterwards.
- The signed order goes by email to the customer and the technicians by itself.
When the customer isn't on site
With the e-signature add-on, you send the finished order by link instead: the customer confirms their email with a code, reads the order and signs, and the PDF gets a signature certificate.
Modules you switch on when you need them
Start with work orders and add the rest when you're ready. Every module works on its own and does more next to the others: with the warehouse, a work order takes its material off the van; with travel orders, it carries the cost of the trip.
- Warehouse and delivery notes: goods receipts, issues and transfers, stock in every warehouse and van, low-stock alerts and a purchase suggestion.
- E-invoice import: the e-invoice XML becomes a draft goods receipt.
- Equipment and vehicles: registration and service reminders, an equipment register with serial numbers, and handover receipts signed on screen.
- Workers: records with documents, licences and certificates with expiry reminders.
- Travel orders: vehicle, route, kilometres and per diems, approval and payout, a monthly Excel for the accountant.
- Shifts: a weekly schedule you publish when it's ready, with every change sent as a notification.
- GPS and trips: in development.
Add-ons: remote signature, an AI assistant and costs
With any package you can switch on e-signature, the AI assistant and costs. Aki, the assistant inside the app, answers from your own data, with links to the records each answer came from, and only sees what the person asking is allowed to see. ID numbers, IBANs, home addresses and health data never go to the AI service.
Costs come in from every module and nothing is counted twice, so the app shows what a worked hour costs you next to the rate you charge. Security companies and printer rental each have their own package.
What about e-invoices?
Since 1 January 2026, companies in Croatia receive B2B invoices as e-invoices (Fiscalization 2.0). Download the XML from your e-invoice provider, drop it in, and it becomes a draft goods receipt: the supplier recognised by OIB, every line matched to your article, and the matches remembered for that supplier.
DrabbIT App doesn't issue or fiscalize invoices. Invoicing stays in your accounting software, and your e-invoice provider stays the same.
Your data
- Every user, the owner included, signs in in two steps: a password and a code from an authenticator app.
- Each company's data is separated in the database itself, not just hidden by the app.
- The app and its database run in Frankfurt, in the EU, with backups you can restore to a point in time.
- Signatures and signed PDFs can only be added, never changed or deleted.
- You can download all your data as a ZIP whenever you want.
How it's rolled out
- A free 30-minute demo: we show the whole flow on the live system, and at the end a signed work order lands in your inbox.
- Your demo: a second meeting under your company's name, with one of your own work orders, and a written offer for the modules and setup you need.
- Setup: we create your system, import your data from your Excel files, invite your team and train them.
- Every day: a monthly licence, and the product keeps improving.
How much does it cost?
A one-time setup (configuration, data import and training) plus a monthly licence. We don't publish prices because they depend on the modules and the number of users. You get exact figures in a written offer after the demo.
