How does AI speed up field-service reports?
By Andrija Drabić · Published
After a site visit the technician records a voice memo, and the system transcribes it, fills in the customer, prices the spare parts and the drive time, and sends a finished PDF report to the customer and to billing. In one of our projects that brings the time from site visit to billable report under an hour; it used to take days.
Where it got stuck
Technicians came back from site visits with voice memos and scribbled notes. Turning them into billable reports took the back office days: invoices waited, and know-how left with the technician.
From memo to PDF
Four steps: record, transcribe, review, deliver. The spoken memo becomes a branded PDF, transcribed, with the customer filled in, spare parts priced and drive time costed, delivered to the customer and to billing, then folded back into the knowledge base.
An AI assistant that cites its source
On site, technicians can ask an AI assistant that answers from the company's own manuals and history, and cites the source of every answer. Recurring failures become micro-courses, so the know-how stays in the company.
The data stays in the EU
The whole system runs in the EU: the database is in Frankfurt, and transcription and the language model run on EU servers.
Our rule for AI
AI does the boring, long tasks; the thinking and problem-solving stay with people. Here that means AI transcribes, fills in and assembles the reports, and the judgement on site stays with the technician.
Who this fits
- Your technicians work on site and write reports afterwards.
- Invoices wait until the report is done.
- The answers to common questions are buried in manuals nobody has time to read.
